How We Handle Your Information

1. Introduction

This Privacy Policy explains how Techtire ("we", "us") collects, uses, and protects your personal information when you use the Techtire website (techtire.ca) and the Techtire mobile app. Techtire is an automotive tire and mechanical service business operating in Ottawa, Ontario, Canada. We handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA). By creating an account or using our services, you agree to the practices described here.

2. Information We Collect

We collect only the information needed to provide and improve our services:

  • Account details — your name, email address, and (optionally) phone number.
  • Vehicle information — make, model, year, trim, and tire sizes you add or that are decoded from a VIN you enter or scan.
  • Booking details — the services you request, appointment dates, add-ons, notes, and your booking history.
  • Mobile-service location — if you request mobile service, the service address you enter, used to calculate distance and the travel fee. Address lookup is powered by Google Maps.
  • Messages — any messages you send us through the in-app chat.
  • Notification preferences — your choices for email reminders, vehicle health alerts, review requests, and promotional messages.
  • Basic technical data — anonymized usage analytics (see Section 5).

We do not collect or store full payment card details. Payment is made in person at the time of service.

3. How We Use Your Information

  • Create and manage your account.
  • Process, confirm, and manage your bookings.
  • Send booking confirmations, reminders, reschedules, and status updates.
  • Calculate mobile-service travel fees and reach your service location.
  • Recommend relevant tires, products, and services for your vehicle.
  • Respond to your messages and provide customer support.
  • Maintain the security of our service and improve how it works.

4. Service Providers

We do not sell your personal information, and we do not share it for advertising. We use a small number of trusted service providers to operate Techtire, and they may process your information only on our behalf and only to provide their service to us:

  • Supabase — secure database hosting and account authentication.
  • Vercel — website and app hosting, plus performance monitoring.
  • Resend — delivery of transactional emails (confirmations, reminders, invoices).
  • Google Maps Platform — address autocomplete and distance calculation for mobile service.
  • PostHog — anonymized product analytics (see Section 5).
  • Anthropic (Claude AI) — used to read text from photos our staff capture, such as a vehicle’s VIN label or a paper service invoice, so details don’t have to be typed by hand. Images are sent only to extract that text and are not used to train AI models.

We may also disclose information if required by law, or to protect the rights, safety, or property of Techtire, our customers, or others.

5. Cookies & Analytics

Like most websites, we use cookies and similar local storage. Essential cookies keep you signed in and remember your session — these are required for the site to work. For product analytics, we use a third-party tool (PostHog) on our public website and booking pages to record anonymized interactions — such as clicks, scrolling, and page navigation — so we can see where visitors get stuck and fix issues. All form inputs (name, email, phone, address, and similar) are masked and are never recorded. We do not run this analytics on logged-in account pages (your dashboard or admin pages). You can opt out by enabling “Do Not Track” in your browser. Anonymized analytics session data is retained for a limited period and then deleted.

6. Email & Push Notifications

When you create an account, you agree to receive emails related to your bookings (confirmations, reminders, and status updates) — these are part of the service. If you install the Techtire app and allow notifications, we use a device identifier provided by Apple’s notification service solely to deliver booking-related alerts to your device; you can turn notifications off at any time in your device settings. You may also receive promotional emails, which you can unsubscribe from at any time using the link in each email or from your account preferences.

7. Your Choices & Rights

You stay in control of your information:

  • View and update your account details and vehicles from your dashboard.
  • Manage notification preferences (email reminders, health alerts, promotions) in your account settings.
  • Delete your account and associated personal data directly from Settings, or by emailing us — see Section 8.
  • Request access to the personal information we hold about you, as provided under PIPEDA.

8. Account & Data Deletion

You can permanently delete your account and personal data at any time from the Settings page in your account (Settings → Delete Account). This removes your profile, vehicles, and preferences. If you prefer, you can request deletion by emailing techtire@outlook.com and we will process it. Certain records may be retained where required by law (for example, completed-service or tax records), after which they are deleted.

9. Data Retention

We keep your account information for as long as your account is active. When you delete your account, your personal data is removed except where we are legally required to retain it. Anonymized analytics session data is retained for a limited period and then deleted.

10. Security

Your password is stored in a hashed form by our authentication provider and is never visible to us. Information is transmitted over encrypted (HTTPS) connections. While no system can be guaranteed perfectly secure, we take reasonable measures to protect your information against unauthorized access, loss, or misuse.

11. Children

Techtire is intended for adults who own or operate vehicles. We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us and we will delete it.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date below. Significant changes will be communicated through the website or app.
